We're enhancing account security for all staff. Starting on your next sign-in, Microsoft Authenticator will handle your multi-factor authentication instead of text messages. This guide walks you through the simple setup process step by step.

What's Changing?

Previous Method

Text message verification codes at sign in or signing in without Multi Factor Authentication will be ending.

New Method

Microsoft Authenticator app provides secure push notifications directly to your phone for seamless authentication.

This change applies to all staff when signing into Microsoft accounts using your work email address and password. The transition is automatic—you'll be prompted to set up the app on your first sign-in after the change takes effect.

Your First Sign-In Experience

When you attempt to access your work accounts after the change, you'll see a prompt similar to this one. Don't worry—this is expected! The screen will guide you through each step of setting up Microsoft Authenticator on your device.

The setup process is straightforward and designed to walk you through everything. If you haven't installed the Microsoft Authenticator app yet, start with the next section.

Before you can complete the setup, you'll need the Microsoft Authenticator app on your smartphone. It's available for both iOS and Android devices at no cost.

  • Visit your device's app store on your phone
  • Search for "Microsoft Authenticator"
  • Download and install the official app
  • Open the app once to ensure it's ready

Step 3: Begin Setup on Your Computer

Click Next

If you've already installed the Authenticator app, click the Next button on your computer screen for the Keep your account secure prompt.

Follow Prompts

The system will display clear, step-by-step instructions. Keep both your computer and phone handy throughout this process.

Prepare Your Phone

Have your smartphone ready to open the Microsoft Authenticator app in the next step. You'll need it to scan a QR code.

Step 4: Link Your Account

Open App

Launch Microsoft Authenticator on your phone.

Add Account

Press the + button at top right, then select "Add work or school account".

Scan Code

Press "Scan QR Code" and scan the code displayed on your computer.

Step 5: Verify the Connection

After scanning the QR code, your work account will appear in the Microsoft Authenticator app. You should see your email address listed. Press Next on your computer to continue the verification process.

Step 6: Complete Verification

Your phone will receive a push notification from Microsoft Authenticator. Open the notification and you'll see a two-digit number displayed on your computer screen. Enter this number into your phone to complete the verification.

Once verified, you're all set! You won't need to set up the app again. Future sign-ins will send push notifications directly to your phone—no need to open the app or retrieve codes manually.
