How to Send an Encrypted Email
Start your subject line with Encrypt: — that's it. For example:

Subject: Encrypt: Documents Records for Review
Everything after the colon becomes your normal subject. The encryption happens automatically in the background through Microsoft's secure mail system.
What Recipients Experience
Microsoft Users
May see no visible difference — encryption is handled seamlessly by their organization's settings.
Gmail / Yahoo Users
Will receive a notification that an encrypted message is waiting and must click a secure link to open it.

Security Training
Phin Security Training Launches the Same Day
Alongside the Avanan rollout, Phin Email Security Training goes live simultaneously. Every staff member will receive a welcome email with instructions for getting started. Expect short, focused training modules and occasional simulated phishing emails — all designed to sharpen your instincts without disrupting your workday.

You'll receive an onboarding email from Phin on launch day with login details and an overview of what to expect during training.

Quick, focused lessons cover real-world email threats. Most modules take only a few minutes to complete and are mobile-friendly.

You may receive realistic-looking fake phishing emails. These are tests — not real threats. They're designed to help you practice spotting red flags in a safe environment.

Instant Feedback
If you click a link in a simulated phishing email, you'll immediately see a brief lesson explaining the warning signs you may have missed. No penalties — just learning.
Report Phishing
Use the "Report Phishing" Button in Outlook
Every Staff Member Gets This Button
A Report Phishing button will appear in your Outlook toolbar. Use it whenever you suspect an email may be a phishing attempt — real or simulated.
Two Ways It Helps
On a Real Phishing Email
Reporting a suspicious email helps the filtering system learn and block similar threats in the future — protecting your colleagues too.
On a Simulated Phishing Email
Clicking "Report Phishing" on a Phin simulation confirms you correctly identified it as a phish — a win for your security awareness score!
